What personal information we collect

We only collect the information we need to run our lessons and respond to you. This includes:

• Enquiries & trial bookings: your name, your child's name, student age, email address, phone number, preferred lesson type and length, experience level, preferred days/times, how you found us, and any message you send.
• Student records: first and last name, date of birth, age, email, phone, home address, parent/guardian name, emergency contact, medical notes, photo (optional), assigned tutor, regular lesson day/time, level, progress and assessment notes, and uploaded documents.
• Parent/guardian information: name, email (used for portal login where applicable), phone, and address.
• Lesson administration: lesson dates, times, room, status, attendance, notes, homework, skills covered, catch-up and cancellation records.
• Payments: amount due, amount paid, due date, payment date, payment method (e.g. cash, standing order, card), and payment status. We do not store full card numbers — payment details are processed by your payment provider, not held in our system.
• Communications: a record of emails and messages we send or receive from you, so we can follow up and keep accurate notes.
• Staff & tutor records: name, email, phone, photo, biography, qualifications, working hours, and Protecting Vulnerable Groups (PVG) check status.
• Account & security records: login email, role, and activity/audit logs (what was changed, by whom, and when).

Children's and student information

We teach children as well as adults. For students under 18 we collect information (name, date of birth, emergency contact, medical notes, and progress) through a parent or guardian, and we hold documents such as parental consent and medical information. We use this to keep children safe, deliver appropriate tuition, and meet safeguarding responsibilities.

Why we collect it and how we use it

• To respond to enquiries and book free trial lessons.
• To schedule, deliver and administer one-to-one drum lessons.
• To track progress, set homework, and report back to students and parents.
• To communicate with you about lessons, cancellations, announcements and payments.
• To record and track payments and outstanding balances.
• To safeguard children and meet PVG and child-protection responsibilities.
• To sync lessons to tutors' own calendars and to run our internal administration.
• To keep an audit trail of changes for accuracy and security.

Our lawful bases for processing are: taking steps before a contract (to arrange lessons), performance of a contract (delivering and administering tuition and payments), legitimate interests (running the school and communicating with you), legal obligations (safeguarding and financial records), and, where required, your consent (for example photographs or optional communications).

Third-party services we actually use

We do not use advertising or marketing trackers on this website. The following services process some personal information as part of running the school:

• Base44 — hosts our website, application and database, and manages login. This is where your student, lesson and payment records are stored securely.
• Calendly — powers our free trial booking. When you book a trial through Calendly, Calendly processes the details you enter (such as name and email) and we receive a copy to arrange your lesson.
• Google Mail (Gmail) — we use Gmail to send you emails such as trial confirmations and announcements.
• Google Calendar — tutors can sync their lessons to their own Google Calendar. This is a tutor-facing feature and uses the tutor's own Google account.
• Google Maps — the map on our Contact page is loaded from Google. Google may set its own cookies; this is gated by your cookie choice (see our Cookie Policy).
• Google Fonts — used to display our website typefaces.

Data retention

We keep your information for as long as you are a student (or an active enquirer) and for a reasonable period afterwards to maintain records, support safeguarding, and meet any legal or accounting requirements. After that it is deleted or anonymised.

Your rights

Under UK GDPR you have the right to:

• Be informed about how we use your information (this policy).
• Access the personal information we hold about you.
• Ask us to correct inaccurate or incomplete information.
• Ask us to erase your information in certain circumstances.
• Restrict or object to how we process your information.
• Receive a copy of your information in a portable format.
• Withdraw consent where we rely on it (e.g. photographs), without affecting past processing.
• Complain to the Information Commissioner's Office (ICO) at ico.org.uk if you are concerned about how we handle your data.

Security

Access to personal information is restricted by role: only the business owner and authorised staff can view administrative records, tutors see only their own students, and parent/student portal access is limited to each person's own information. All significant changes are recorded in an audit log.

International transfers

Some of the services above (Base44, Google) may process or store information outside the United Kingdom. Where this happens, we rely on the safeguards provided by those services.
